spec 00 — grant & federal proposal writing · new york, ny

deadline day, 4:51 p.m. eastern — and your package cleared validation yesterday.

Jovira finds the solicitation, writes every narrative section, builds the SF-424 budget and its justification, and runs a line-by-line compliance pass — so your nonprofit or research startup submits early, not at the wire. One flat fee per submission package.

§ 01 — how a package gets built

one package, three benches

Every submission passes across the same three work surfaces, in the same order. Nothing reaches assembly until the budget and the narrative describe the same project.

bench 01 / research

the funding scan

We read the solicitation the way a study section will: eligibility, page limits, review criteria, and the exact language of the topic description. You get a ranked shortlist with deadlines in Eastern time and award ceilings pulled from the source document — never from a newsletter summary.

deliverable: fit memo, 4–6 pp10 business days
Flat-lay of fanned solicitation printouts with copper flags, a highlighter, a loupe and a circled calendar date

bench 02 / budget

the budget and its justification

Line-item SF-424 (R&R) or foundation budget, fringe and indirect rates applied the way your rate agreement states them, consultant and subaward costs separated out, and every figure traceable in the justification. Reviewers check that the math and the aims are funding the same work.

deliverable: budget + justificationall project years
Flat-lay of graph paper columns, a printing calculator with curling tape, a copper pen and a rubber stamp

bench 03 / assembly

compliance pass and hand-off

Fonts, margins, page counts, file names, flattened PDFs, and a check of every required component against the solicitation. Your authorized organizational representative submits from your account; we stay on the call until the agency tracking number comes back.

deliverable: final files + matrixsubmit-day call included
Flat-lay of a squared proposal stack with a copper clip, a ticked checklist, a ruler and a copper USB drive

§ 02 — packages & fees

flat fees, quoted per package

Priced by submission, not by the hour. 50% at kickoff, 50% before final hand-off, invoiced by ACH or card. The fee is written into the engagement letter before a single page is drafted.

Every package: one named writer, two structured revision rounds, and a compliance sign-off against the solicitation. An award isn’t something any writer can promise — a complete, on-time, criteria-matched package is.

§ 03 — before you book

what careful applicants ask before the call

Six answers, stated plainly. If yours isn’t here, the scoping call is the place for it.

ask yours on a call
  1. what does the flat fee include — and leave out?

Everything in that tier’s spec: research, every narrative section, budget and justification, attachment formatting, and a compliance pass against the solicitation, with two revision rounds built in. Left out: your PI’s scientific data, and letters only your partners can sign. Grants.gov and SAM.gov registration carry no government fee, so there’s nothing to pass through.

  2. do you guarantee funding?

No. Award decisions sit with peer reviewers and program officers. What we control is a package that is complete, compliant, on time, and argued directly to the review criteria printed in the solicitation.

  3. how much lead time is enough?

Federal mechanisms: book 8–10 weeks before the due date — registrations alone (SAM.gov, Login.gov, eRA Commons or Research.gov, the SBA Company Registry) can take several of them. Foundation applications: about 4 weeks. Inside 3 weeks, we’ll tell you on the call whether a credible package is still possible.

  4. who actually presses submit?

Your organization. Federal portals require your authorized organizational representative or signing official to submit from your own account. We prepare the final files, run the validation checks with you, and stay on until the tracking number arrives.

  5. can you write science outside your field?

We write the argument; your team owns the science. Technical sections are built from your data, protocols, and a recorded PI interview, then returned for line-level technical review. Aims and research strategy get PI sign-off before anything moves to assembly.

  6. and if the package isn’t funded?

Request the summary statement or reviewer comments, then send them over. Resubmissions are quoted under pkg-04 and open with a point-by-point response to each critique — the section reviewers read first on a second round.

a reviewer meets your whole project on one page. we draft that page last, and rewrite it most.

§ 04 — whose desks we write for

nonprofits
501(c)(3) organizations requesting program, capacity-building, or general-operating support from private, community, and corporate foundations.
research startups
Seed-stage companies applying for SBIR Phase I and II under NIH, NSF, DOE, USDA, and DoD solicitations.
university spinouts
STTR teams whose research-institution subaward, work split, and IP agreement language all need to line up.
first-time federal
Applicants not yet registered anywhere — we sequence SAM.gov, Login.gov, and the agency portal so nothing blocks submission day.
not our desk
Individual scholarships, fellowship personal statements, and crowdfunding copy. We’ll say so in the first five minutes.

§ 05 — the scoping call, specced

bring four things to the first call

Forty-five minutes is enough to scope a package and quote it in writing — if these are on the table. Missing one? Book anyway; we’ll mark it as a gap.

  • bring 01

    the solicitation

New York, NY, RFA, or SBIR topic number — or the foundation’s RFP link. None yet? That’s what pkg-01 is for.

  • bring 02

    your registrations

UEI, SAM.gov expiration date, and which portal roles (Grants.gov, eRA Commons, Research.gov) are already assigned.

  • bring 03

    the project, one page

A one-pager, abstract, or pitch deck. We read it before the call so the 45 minutes go to scope, not summary.

  • bring 04

    the hard numbers

Due date and time zone, the budget ceiling, and any cost-share or match requirement written into the call.
